AI Customer Service for Wedding Photographers in 2026: What to Automate in Instagram DMs and LINE, Plus 12 Date-Inquiry Templates

What wedding photographers, bridal studios and makeup artists in Taiwan can automate in Instagram DMs and LINE, what stays personal, and 12 templates.

Wedding inquiries in 4 steps: Answer facts, Collect three, Hand over, Never promise
Wedding inquiries in 4 steps

Full disclosure: this article is written by FRIDAI, and FRIDAI Chat is one of the AI customer service tools mentioned. The conversation scenarios are illustrative examples, not real customer cases, and everything said about LINE, Meta and Taiwan law comes from official pages FRIDAI Editorial read today.

A note on context: this is the wedding article in FRIDAI's industry series, written for wedding photographers and videographers, bridal studios, bridal makeup artists (新娘秘書, usually shortened to 新秘) and small wedding planners in Taiwan. LINE is Taiwan's default chat app, and a LINE Official Account (LINE OA) is its business side. What these businesses share: a high ticket, one couple per day, inquiries that arrive mostly through Instagram DMs and LINE, and a shoot day of ten-plus hours with no chance to check a phone. A couple usually asks five vendors at once, and the one that answers first and clearly tends to reach the next round. This article covers one thing: which messages you do not have to answer yourself. The layout matches the beauty salon and restaurant articles.

What ten kinds of messages do wedding vendors get?

Sort the messages first; then you can see which ones to hand off. The quoted lines are illustrative examples.

  • Date availability: "Are you free on May 17 next year?"
  • Packages and prices: "How do you charge for wedding-day coverage?"
  • What is included: "Does it include a second shooter? How many photos do we get?"
  • Deposit and payment schedule: "How much is the deposit? When is the balance due?"
  • Style and portfolio: "Do you have work from the same venue?"
  • Travel fees: "The venue is in Yilan. Is there a travel fee?"
  • Delivery time: "How long until we get the photos?"
  • Rescheduling and cancellation: "Our wedding has been postponed. Can we change the date?"
  • Raw files and copyright: "Can we have all the raw files? Can we print the photos?"
  • Dissatisfaction with results: "Several important moments were not captured."

The first few ask for facts. The last few ask for commitments. That is where the line goes.

What can be automated, and what must you answer in person?

FRIDAI Editorial uses one test: if the answer can be written down and is the same for every couple, automate it. If it depends on your calendar, the venue or the contract, the auto-reply only takes the message in and says how long the wait will be.

"Partly" means the AI can explain the rules and collect the details, but only you can say "I will hold that day" or "the deposit has arrived". In a business that takes one couple a day, one mistaken "yes, free" is a double booking.

A word on speed and tone. Couples asking about a date are usually excited, so the reply should congratulate first, then ask its questions, all at once. Replying "what date?" and waiting for an answer before asking about the venue throws away the advantage of being fast.

How should a date inquiry be routed? One flowchart

The key is to separate signed from unsigned couples first, and to collect three details from unsigned couples in one go.

Note that the chart has no "AI confirms the date" box. Even if you keep an online calendar, a wedding date also depends on travel distance, what you have on the day before and after, and whether you want the job. Confirm every one yourself.

How do you write packages and rules for the AI?

How well the AI answers depends mostly on what you give it. The full method is in How to write AI customer service rules; this section covers only what is specific to wedding services.

Packages: say what is included and what is not

Write each package's hours, number of shooters, number of photos or film length, and delivery format as plain text, and list the exclusions alongside, such as raw files, albums, overtime or casual pre-wedding shoots. The most common misunderstanding is not about price; it is assuming something was included.

Dates: the AI only collects

State in your rules that for any "are you free" question, the AI collects the wedding date, venue and service type and says by when you will reply. Do not let it say "probably" or "it looks open for now".

Deposit, payment and delivery: use the contract's wording

Write the deposit ratio, payment stages and delivery working days exactly as your contract does. If you say "about a month" in chat and the contract says "sixty working days", the couple remembers the shorter one.

What the AI must never promise

Write the prohibitions as rules. Do not expect the AI to sense where the line is. The template below stays in Chinese because it is pasted into a Chinese-language setup; in short, it lists basics, packages, deposit and delivery, what always goes to you, and what must never be said.

Why "never promise a specific shot"? Because a wedding cannot be re-run. If the AI says "the bouquet toss will definitely be captured" and a guest blocks the view at that moment, you have a complaint.

12 copy-ready reply templates for wedding services

Replace the text in brackets with your own. Each one contains three things: the answer, the next step, and when you will reply in person. They can go into LINE's auto-response messages or serve as example replies for an AI. The templates stay in Chinese because your couples read Chinese; each has a one-line English gloss. Other template types are indexed in Customer service message templates.

Dissatisfaction with results

Gloss: apologises, asks which photos or segment and what change they want, and says the photographer will reply in person.

很抱歉這次的成果沒有達到你們的期待。
請告訴我是哪些照片或哪一段,以及你們希望怎麼調整。
這則訊息已經轉給攝影師本人,(時間)前會親自回覆你們。

Once they are written, send each of the 12 to yourself as a couple would. A reply that is instant but wrong only loses the date faster.

Instagram DMs or LINE as the main channel?

The usual pattern in wedding services: the portfolio lives on Instagram and couples DM straight after viewing it, then the conversation moves to LINE for the contract and payment. Decide which channel stays with the couple before and after signing; the other only catches the first message.

Auto-replyDepends on your toolKeyword auto-response
Main limitReply window through the APICapped number of keywords

Facts FRIDAI Editorial confirmed on official pages today:

  • Meta's developer policy page states that a business has up to 24 hours to respond after a user messages; there is also a Human Agent tag that lets a person reply manually within 7 days. These are the rules when a tool connects through the API, and what you can actually use depends on Meta and on that tool. For a photographer shooting two days in a row, it means the first reply should not wait until you pack up.
  • LINE's official manual states that auto-response keywords are capped at 51, that emoji cannot be keywords, that matching ignores upper and lower case and full-width versus half-width characters, and that a sending period can be set by date or time.

FRIDAI Editorial's suggestions:

  • Couples mostly come from Instagram: let Instagram DMs take date inquiries and portfolio questions, and ask couples to add your LINE after signing. For choosing a tool see Instagram auto-reply tools.
  • Referrals from planners or venues: make LINE the main channel, with a rich menu showing "Packages", "Portfolio" and "Ask about a date".
  • Messages on both: write the packages and rules once and use the same wording on both. For the whole path from inquiry to sale see Conversational commerce.

Contracts, deposits and copyright are all regulated

Read this part carefully. FRIDAI Editorial is not a lawyer. What follows quotes only what the Ministry of Economic Affairs' law system, the Executive Yuan's Consumer Protection Committee and the national Laws and Regulations Database showed today; for how it applies to a specific case, ask a lawyer or the competent authority.

The mandatory provisions for bridal photography contracts

On July 15, 2019 the Ministry of Economic Affairs announced the mandatory provisions for bridal photography service contracts (婚紗攝影服務定型化契約應記載及不得記載事項, the terms a standard contract must and must not contain). The preamble defines the service as providing bridal photography together with gown rental, and says businesses that only rent gowns are not covered. Whether wedding-day coverage alone, bridal makeup or planning falls within scope is not something FRIDAI Editorial will conclude for you; please confirm with the authority or a lawyer.

For businesses that are covered, the mandatory points that bear directly on how you reply are:

  • Point 1: the contract review period is at least three days.
  • Point 4: each payment stage has a ratio cap, shown in the table below.
  • Point 6: if outdoor shooting cannot be completed because the weather differs from what was agreed, the parties may agree to another date or another way of shooting; if the new date needs styling and makeup again, the business may not charge for it unless otherwise agreed.
  • Point 8: if the photos have production defects after the proofs are selected, the consumer may ask for repair or remaking within the agreed period.
  • Point 12: the consumer may terminate the contract at any time; the business may claim payment for services already provided, and compensation if it suffered other loss.
  • Point 13: a designated photographer or stylist may not be swapped at will; if that person cannot serve, the business must tell the consumer at once so they can choose again.
PaymentCapBasis
Deposit20% of the contract totalSingle item
Deposit plus gown or date selection payment50%Cumulative
Plus shooting payment60%Cumulative
Plus proof selection payment80%Cumulative
Gown security deposit10%Single item

The prohibited terms include requiring the consumer to hand back the contract, and stating that advertisements, flyers or other promotional material are for reference only. In other words, a couple can rely on the package you describe on Instagram, and the DMs your AI sends need to match it too.

Copyright: the provisions and the Copyright Act start from different defaults

This is the question the AI should least answer by itself, because there are two sets of default rules:

  • Point 10 of the provisions says that for proofs and photos selected by the consumer, unless otherwise agreed, the author is the business and the owner of the economic rights is the consumer. Point 11 says unselected proofs and photos may not be used by the business without written consent, and must be destroyed.
  • Article 12 of the Copyright Act (著作權法) says that for a work completed by a person commissioned and paid by another, the commissioned person is the author; where ownership of the economic rights is not agreed, they belong to the commissioned person, and the commissioning party may use the work. Article 37 says any part of a licence that is unclear is presumed not licensed.

Which set applies depends on whether your service falls within the provisions and on what the contract says. So when a couple asks "can we print these?" or "may you put our photos in your portfolio?", the AI's standard move is to note the question and pass it to you. On portrait rights, FRIDAI Editorial did not read the statute today and does not cite it here; write the consent for public use of the work into your contract and have a lawyer review it.

What a violation leads to

Article 17 of the Consumer Protection Act says standard-contract terms that violate the announced provisions are void, and that announced mandatory terms form part of the contract even if they were left out of it. Article 56-1 sets a fine of NT$30,000 to NT$300,000 for a business that is ordered by the authority to correct by a deadline and does not.

FAQ

How much does AI customer service for a wedding photographer cost per month?

It depends on the kind. Keyword auto-response is built into a LINE Official Account. Third-party AI customer service charges a platform fee; FRIDAI's official materials list the Chat Launch plan at US$70 a month with 500 replies, and connecting both Instagram and LINE means two plans.

Can the AI tell a couple the date is free?

Not recommended. A wedding date takes one couple a day and also depends on travel distance and your schedule around it. Have the AI collect the date, venue and service type, state plainly that the date is not held until you confirm, and reply yourself.

A couple asks about price. Can the AI quote?

It can give public package prices, not custom quotes. Timing, venue, add-ons and travel all change the amount. After giving the public packages, the AI should say the actual quote comes from the photographer, so the couple does not take a starting price as final.

How should the AI answer questions about raw files and copyright?

Only with what the package says it delivers; licensing and ownership go to you. The mandatory provisions for bridal photography contracts and Article 12 of the Copyright Act start from different defaults, and which applies depends on the service and the contract, so the AI should not interpret them.

Can I take a 50 percent deposit?

If your service falls within the mandatory provisions for bridal photography service contracts, the deposit may not exceed 20 percent of the contract total, and the cumulative stages are capped too. If you are unsure whether you are covered, ask the authority or a lawyer.

I reply fast, so why do couples go quiet?

Usually the first reply gives only a price and no next step, or asks one question at a time. Check that it sends the portfolio link, asks for the date and venue together, and says when you will reply in person. Couples need to know what happens next.

Does a solo photographer need AI customer service?

Not necessarily. With few inquiries, LINE's built-in keyword auto-response plus a clear welcome message is enough. Consider AI for the first reply once peak-season shoot days multiply and Instagram DMs often wait until the next day.

How FRIDAI can help

FRIDAI Chat connects to your Instagram or LINE Official Account, answers questions about packages and process from the AI rules and knowledge notes you write, collects the wedding date, venue and service type, and notifies you to take over when a date hold, a custom quote, a change of date or a dissatisfied couple comes in. The product page states that every plan includes a booking and reservation system, human collaboration and human review. It will not hold a date for you or interpret your contract; what should come from you still has to come from you.
